snapbook.ai is a modular back office platform for Singapore micro businesses. It combines P&L tracking, CPF-compliant payroll, invoicing with PayNow QR, CRM, and an AI assistant in one place. Built by a solo Singapore founder who uses it daily to run a real business.

## Modules and pricing

- **P&L Free**: S$0/month forever. 20 Magic Scans/month, unlimited manual entries, full P&L, IRAS-aligned categories, Telegram bot, multi-currency. AI Assistant included: 5 queries/day, 50/month.
- **P&L Standard**: S$10/month. 100 Magic Scans/month, dashboard metrics, IRAS-aligned export, invoicing included. AI Assistant included: 20 queries/day, 200/month.
- **Payroll**: Freemium. Free for 1 full-time and 1 part-time employee, S$10/month for full team (no per-head fees). CPF-compliant payroll — auto CPF/SDL/SHG calculations, MOM-compliant payslips, CPF EZPay DTL file export, IR8A for IRAS YA2026. Payroll costs auto-post to P&L. No P&L plan required.
- **Invoicing**: Included with P&L Standard. Not available on the free tier. Professional invoices with PayNow QR, GST-aware, payment tracking, auto-posts revenue to P&L when paid.
- **CRM**: Freemium. Free for up to 5 contacts. S$10/month for unlimited contacts, no other plan required. Pipeline kanban with configurable stages, contact profiles, interaction log, follow-up reminders, invoice linkage per contact, WhatsApp and email shortcuts.
- **Snapshop**: Freemium. Free for up to 5 products. S$15/month (Snapshop Pro) for unlimited products. Online store builder for Singapore vendors — customers browse, cart and pay via live PayNow QR. No payment gateway, no commission, no MDR fees. Walk-up (live event) mode and home-base (pre-order/delivery/pickup) mode. Telegram order notifications, order queue, POS, display board. Revenue auto-posts to P&L when orders fulfilled.
- **Website Chatbot**: Freemium. Free tier: unlimited FAQs, ~300 replies/month. S$30/month for file and URL training, analytics, AI gap detection, unlimited replies. Claude-powered chat widget embedded on any website with one script tag. Trains on FAQs, uploaded PDFs, and linked URLs. Conversation analytics, escalation alerts, off-topic detection. Integrates with Snapshop storefront via one toggle.
- **AI Assistant**: Included on all plans. Free tier: 5 queries/day and 50/month. Any paid plan: 20 queries/day and 200/month. Reads live P&L, payroll and invoice data. Answers business questions in plain English. Gets smarter as more modules are added.
- **Bespoke Chatbot Service**: From S$50/month. Done-for-you AI chatbot trained on client's business. Deployed on WhatsApp, Telegram, website, Instagram or a combination. Client gets branded dashboard for simple updates. Snapbook handles backend training and ongoing maintenance. S$300 one-time setup fee, waived on annual commit. Every setup scoped individually.

## What each module does

### P&L
Upload receipts (photo, PDF, screenshot). AI reads and categorises each transaction automatically. P&L updates live. IRAS-aligned report downloadable at year end. Telegram bot for on-the-go capture. Multi-currency support with auto SGD conversion.

### Payroll
Enter employees with nationality, employment type, PR year and salary. System calculates CPF by age, nationality and PR year, plus SDL and SHG deductions. Generates MOM-compliant PDF payslips. Exports CPF EZPay DTL file for direct CPF Board upload. IR8A pre-filled from full year payroll data. Supports full-time, part-time, hourly and daily-rated staff. OT calculated using MOM formula. Reverse any finalised run cleanly.

### Invoicing
Create professional invoices with line items, due date and custom prefix. Every invoice includes an EMVCo-compliant PayNow QR pre-filled with balance due and invoice number. Track paid, partial, unpaid and overdue status. Mark payment and it auto-posts to P&L as revenue.

### CRM
Kanban pipeline with configurable stages (Lead, Quoted, Active, Won etc). Contact profiles with company, phone, email, tags, lead source, WhatsApp status. Chronological interaction log — calls, messages, meetings, follow-ups. Follow-up reminders with overdue and upcoming dashboard view. Invoice linkage shows total billed, paid and outstanding per contact. One-tap WhatsApp and email shortcuts from contact profile.

### Snapshop
Vendors get a public store link at snapbook.ai/snapshop/[slug]. Customers browse products, add to cart and pay via live PayNow QR — no credit card terminal, no commission. Separate live event QR puts the store in walk-up mode for market stalls and pop-ups. Home-base mode supports delivery and pickup scheduling with per-day time slots, blocked dates, delivery fee, and collection address. Order queue lets vendors move orders through Confirm → Processing → Ready → Fulfilled. POS mode for in-person selling. Display board for stall tablets. Telegram notifications on new orders and when customers mark payment. Fulfilled orders auto-post revenue to P&L as daily aggregate.

### Website Chatbot
Businesses embed a Claude-powered chat widget on any website with one script tag. Widget is trained on FAQ pairs, uploaded files (PDF, TXT, CSV) and linked URLs. Handles customer questions 24/7 without developer involvement. Proactive greeting, escalation detection, off-topic rate limiting. Conversation analytics, AI gap detection (scans chat logs for unanswered questions). One toggle adds the chatbot to a vendor's Snapshop storefront without retraining.

### AI Assistant
Ask questions about your business in plain English. No dashboards, no filters. Answers come from your actual live data. Examples: "What was my biggest expense category last quarter?", "Am I more profitable than last year?", "How much is outstanding from invoices?", "What's my staff cost as a percentage of revenue?". Each module added gives the assistant more context and better answers.

### Bespoke Chatbot
Auto-reply chatbot for client-facing channels. Trained on the client's content, tone and workflows — not generic FAQ templates. Handles repetitive customer enquiries 24/7. Use cases include e-commerce order status, restaurant menus and reservations, gym class schedules, clinic FAQs, home-based business WhatsApp enquiries. Client dashboard allows simple self-service updates. Snapbook handles all backend training and maintenance.

## Technical facts

- Web-based, works on any browser, no mobile app required
- Telegram bot for on-the-go receipt capture without opening a laptop
- Receipt scanning uses Claude vision API (Anthropic)
- Data encrypted at rest (AES-256) and in transit (TLS)
- Row-level security: only your account can query your own records
- Payroll data encrypted with AES-256-GCM
- Telegram chat ID stored as HMAC SHA256 hash, original value never stored
